When you have new employees, you need an employee onboarding technique that will set your company, as well as your new hire, up for success. No matter how many employees your business has, or will be hiring, it is crucial to set up employee onboarding.

  • Connection is the relationships that employees must develop.

Great practices for employee onboarding

In order to have your employee onboarding program be successful, you must follow the great practice. By implementing the following, you will be sure that your employee onboarding will go as planned.

  • Basics should be set in place prior to the employee’s first day.
  • A formal orientation program should be used on the first day.
  • Do something special on the employee’s first day.
  • Monitor the program.
  • Have the onboarding program written up.
  • Utilize technology to make the program better.
  • To determine employee progress, use milestones such as 30 days, 60 days, 90 days, 120 days, and 365 days on the job.
  • Be very clear with the employees about objectives, roles, responsibilities, and timelines.

Prior to the first day

You will also want to get paperwork filled out prior to the employee’s first day. Paperwork may include the employee’s contract, payroll forms, VISA documents, direct deposit forms, IRS papers, and more. You should also provide them with a first-day schedule.

Online accounts for an employee should also be set up. This includes an email account, a company instant messaging, and any passwords that they will need for software or programs that are used.

You will also want to have business cards ready, a name placard, and all tech stuff set up (laptop, monitor, mouse, keyboard headset, etc).

First day

On the employee’s first day, have someone ready to welcome the employee to the office, and to show them where their desk is located. Provide the employee with a detailed tour of the company, and give them a map so they know where everything is located.

It is also advised to have a new hire meeting where you introduce the team to the newbie. You should also have a formal HR meeting to go over holidays, paid time off, vacations, team culture, company structure, and anything else pertinent about the company.

First week

During the week you’ll want to plan time to go over the goals of your employee for the first 30 days, 90 days and one year.

You can also provide insight into how the employee has done in the first few days. Be sure to check in with them on a regular basis to make sure all is well.

Creative ideas for employee onboarding

Every employee will tell you that when they feel welcomed and special, it can make their first day or week so much better. Here are some creative ideas that will make your new hire’s onboarding even better.


On the employee’s first day, have a welcome sign with their desk setup for them. You may wish to include some promotional items for your company, such as a pen, can koozie, or notebook.

Lunch with coworkers

One an employee’s first day, have a few coworkers take them out to lunch. This is a great way to get your newbie to get to know others.

Welcome card

Leave a welcome card on the desk of the new hire, with all employees signing it.

Small gifts

Leave a few small gifts on the desk of the new employee. These can be inexpensive things, such as a gift card to the cafeteria or some treats, such as chocolate. You might even try to find out what their favorite snack is to leave on their desk. Or you could have their favorite drink delivered.

Employee’s picture

Before the new hire starts, ask them to share a few things about themselves, such as what hobbies they have, what their favorites are, or about their family. Ask them to attach a picture of themselves, then use it on the company intranet site. This can pop up when others access the site so they can find out about the new hire.


You can leave a bouquet of fresh flowers on the desk of the employee welcoming them on their first day.

The first week wrap up

On the last day of the employee’s first week, have a wrap up with them. This can be easily accomplished by providing drinks and snacks and allowing everyone to take half an hour to celebrate with your employee. Cupcakes, cookies, cake, and punch can be served.
